I collect the following information from you, as a client:
Your name
Your business name (if that is relevant)
A postal address for you or your business
An email address by which to contact you
A telephone number by which to contact you
Information about the work that you would like me to do for you (for example, you subject matter, its word count, your profession, the nature of the text).
Information about any constraints or practices that you would like me to accommodate as we work together.
How it is collected
I ask you to provide theinformation as part of our professional interaction, and this would normally be captured by email or in a preliminary meeting with you.

The legal basis for my collection and processing of this data is contractual.
What it is used for
I use this information in order to be able to invoice clients, and track the history of my business.
Sharing this data
I may share these records with HMRC if they ask me to do so. Otherwise, I will not share them with anyone unless you specifically ask me to.
Storage and security
These records are stored securely on my cloud account, which has dual-factor authenticated security.
Retention
I have a statutory obligation to maintain business records for tax purposes. I am required to hold these records for at least five years after the 31 January submission deadline of the relevant tax year. At the end of the retention period, relevant files will be deleted.
2.3 Non-standard personal data
Type of information collected
Sometimes, the work I do might include a considerable amount of a client’s or someone else’s personal data. For example, if you provide me with your CV, or a piece of writing containing sensitive biographical or autobiographical information.
Because this is the nature of the work, and I cannot perform my services without processing it, it is understood when you send it to me that you permit me to receive and process this information.
How it is collected
When you send me your text to work on, either by email, or via Dropbox.

The legal basis for my collection and processing of this information is contractual.
What it is used for
I do not use this information, I merely process it as part of the contract that we hold. Retaining the copy after the contract enables us to have access to records of the activity should there be a need to.
Storage and Security
This information is stored securely in my cloud-based working system, Dropbox, which has dual factor authenticated security.
Retention
My default retention period for working materials for clients is 12 months, but if you request a different one, I will work to that. At the end of the retention period, relevant files will be deleted.
3 Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask me for copies of your personal information.
Your right to rectification - You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.
Your right to erasure - You have the right to ask me to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask me to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that I transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.
